Job Summary :

Responsible for overseeing the integration of retail and Health System Pharmacy (HSRx) acquisitions in planning, diligence and integration phases. Attends closings and conversions to ensure that all best practices are understood and employed and all issues are resolved. Communicates and coordinates between local operations team members and the central support office M&A team by immediately identifying and escalating concerns that suggest less than acceptable customer service experience on Day 1. Coordinates with local operations and 3rd party inventory service to execute physical inventory of seller’s product. Works with Health Systems group and local operations management to ensure alignment of integration requirements and completion of hiring and onboarding process for acquired team members.

Job Responsibilities :
  • Manages corporate cross-functional teams to ensure that key requirements for the integration are executed properly.
  • Ensures that executed Asset Purchase Agreements (“APA’s”) are received timely for all deals, and with adequate time to provide for a successful Day 1 after purchase of a competitor’s prescription files and/or premises.
  • Manages the pharmacy data conversion process to ensure that data is received and processed timely to support the Company's Due Diligence, Day 1 and Delta data requirements. Reviews data to verify integrity of data pull and accuracy of data conversion. Prioritizes work with vendor (Infowerks) to ensure continuous focus on the most critical deals. Intervenes as necessary to facilitate data transfer from Seller to Infowerks and to resolve data issues that will impact the deal. Alerts stakeholders and identifies solutions when complications arise.
  • Completes and reviews the translation of Seller 3rd Party Codes to Company's 3rd Party Codes so that all new business can be processed through Company's 3rd Party Payors successfully on Day 1. Implements processes to provide assurance for a successful Day 1 experience for Company's employees and Seller customers and provide for the highest level of retention and value to Company's as possible. Responsible for driving higher retention of purchased prescription files.
  • Participates in and contributes to monthly File Buy Task Force meetings, actively identifies and implements best practices that increase file buy retention and communicates these practices to Operations through direct guidance and also through update of our Buyout site on StoreNet. Advises management of Buyout Table system enhancements to optimize the file buy process. Prepares recommendations to IT Buyout Table enhancements.
  • Schedules physical inventories at mutually agreeable times. Monitors adherence to valuation terms that were agreed to in the APA and escalates discrepancies to management while making recommendations for resolution. Distributes inventory results to internal departments as necessary (i.e., Legal, Accounting).
  • Ensures that Human Resources orients and integrates acquisition employees. Updates and ensures that patient notification letters are prepared and distributed in advance of each acquisition. Ensures that phones are forwarded to the Company's primary store, as required per the APA.
  • Verifies appropriate records are backed-up and available to Danville Custodian of Records.
  • Advises District Manager and/or Healthcare Supervisor of actions needed to prepare for file buy or HSRx/Retail
  • Operate to ensure the highest level of retention. Reviews Due Diligence Snapshots and Due Diligence results for each deal and provides customized instructions/guidance to the District Manager and/or Healthcare
  • Supervisor to ensure that the store is adequately informed and prepared for each deal. Acts as primary point of contact for Operations to resolve any issues associated with the file buy or operate transaction. Intervenes if store is not adequately prepared (inadequate staff, signage, inventory, phone lines, construction completed, etc.) for the file buy and recommends required action plans prior to Close.
  • Manages the M&A Adherence and VIP Patient Outreach program, providing thought leadership, pilot design and evaluation, procedure development, measurement of results and ongoing support for Store Operations, with goal to materially improve File Buy Script Retention.

Basic Qualifications
  • Bachelor’s Degree and at least 2 years of experience in Pharmacy Operations or Project Management OR a High School Diploma / GED and at least 4 years of experience in Pharmacy Operations.
  • Experience analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions.
  • Experience with project management (for example: planning, organizing, and managing resources to bring about the successful completion of specific project goals and objectives).
  • Experience identifying operational issues and recommending and implementing strategies to resolve problems.
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
  • Willing to travel at least 50% of the time for business purposes (within state and out of state).


Preferred Qualifications
  • Certified Pharmacy Technician (PTCB)
  • Experience with support of pharmacy acquisition/integration projects at store level.
  • Experience with retail pharmacy inventory processes
  • Experience with Salesforce.com
