Job Summary
This full-time, in-office role serves a dual function as Office Manager for Walgreens’ Washington, D.C. office and Executive Assistant to the Vice President of Federal Government Relations and the Vice President of Public Affairs. The position plays a critical role in ensuring the smooth and professional operation of the D.C. office, while providing high-level executive support in a fast-paced policy and advocacy environment.
The ideal candidate is detail-oriented, discreet, and proactive, with a strong commitment to service and professionalism. This role is responsible for day-to-day office management, coordination with headquarters support teams, vendor and payment oversight, and the planning and execution of in-office meetings and events. The candidate must also be adept at managing complex calendars, handling sensitive information, and maintaining a polished and welcoming office environment for both internal and external stakeholders.

Job Responsibilities
- Manage daily operations of the D.C. office, including office supplies, vendor relationships, facility needs, and technology coordination
- Structures, organizes and expedites the activities and workflow of the VP's office. Prioritizes schedules, develops and initiates system of follow-up for projects, meetings and issues to assure the efficient and effective management of the executive’s office.
- Serve as primary liaison to building management and internal corporate support teams
- Manage office calendar and logistics for internal meetings, fly-ins, stakeholder visits, and policy briefings
- Track and process team and office expenses, including invoices and budget reconciliation
- Support onboarding and administrative needs for team members and interns
- Maintain a clean, organized, and professional office environment
- Coordinate safety protocols, including OSHA compliance, ergonomic initiatives, and emergency procedures
- May serve as Facility Manager, overseeing maintenance, service contracts, cleaning, and space planning
- Maintain filing systems and databases (e.g., vendor lists, licenses, contacts, and memberships)
- Continuously improve operational procedures to increase office efficiency and productivity

Basic Qualifications
- High school diploma/GED and at least 3 years of experience in office management and/or executive administration experience
- Experience establishing & maintaining relationships with individuals at all levels of the organization, in the business community & with vendors.
- Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
- Experience maintaining/administering departmental budgets.
- Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
- Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
- Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
- Experience mentoring and/or coaching peers and other training staff
- Willing to travel up to/at least 10% of the time for business purposes (within state and out of state).
Preferred Qualifications
- Experience presenting to and coordinating senior level meetings, including preparation of agendas, documenting meeting minutes, sending out documents to attendees.
- Bachelor’s degree and at least 3 years of office management or executive administrative assistant experience.
